Ayla is a 4.3 million sqm inspirational waterfront destination committed to environmental sustainability by protecting the integrity of its marine and wildlife, recycling its water resources and harnessing solar energy for power.
Artistically sculpted out of the Red Sea Coast of Aqaba, Ayla adds 17 kilometres of waterfront living to the Aqaba coastline.
Ayla’s security guards were responsible for recording visitor information at company gates for auditing and security purposes.
The process was entirely manual, using paper forms that were later transferred to Excel. This approach caused several problems: inaccurate or missing entries, difficulty in monitoring and controlling data, risk of lost documentation, and high manual effort for management to analyze visitor information.
Ayla’s management recognized the need for an automated solution to streamline visitor recording and improve accuracy, monitoring, and decision-making.
TopNotch Technology partnered with Ayla in 2024 to automate the visitor management process.
A comprehensive Admin Application was developed to manage gate configurations and restrictions. Changes made in the Admin Application, such as gate names, destinations, allowed visitor types, schedules, security measures, and required questions, were immediately reflected in the Security Guards Visitors Entry App.
Security guards use the Visitors Entry App to record visitor information digitally, guided by the configurations and restrictions set in the Admin Application. Admins can also create new gates, destinations, visitor types, questions, and security measures, enabling flexible and scalable management of visitor data.
The system ensures that all visitor information is collected in a structured, accurate format for auditing and planning purposes.
By automating the visitor management process, Ayla transformed a manual and error-prone system into a structured, reliable, and scalable solution. The initiative improved operational efficiency, data accuracy, and decision-making, while reducing administrative burden on security staff.
Reports are collecting the data from the visitors records which will be fed by the Security Guard (Visitors Entry) App.
Using the Visitors Entry Application will reduce the time of recording Visitors information and they will not wait longer to pass the gate.
Also, entering the information almost will be buttons pressing, and in some cases entering a text will not consume more time.
to Record the entry process of each visitor wants to enter any of Ayla’s Destinations, the users of this application are the security Guards on each gate.
In this Application, Entering the Records will be through Tablets either by touching buttons or the keypad of the tablet.
This Applications is using offline mode, it will download the Database to be used if a disconnection in the internet is occurred to prevent any interruption in the visitors entry.
The entry process will be controlled and managed by the admin application by configuring each gate and its related definitions (Visitor Types, Questions, Destinations… etc.), so, whatever settings have been configured on the Admin App, they will be presented in the Guards Visitors entry app.
