Automating the Hiring Process for Marriott Hotels
About the client:
Marriott International, Inc. is a leading global lodging company with more than 7,600 properties in 133 countries and territories. Marriott operates and franchises hotels and licenses vacation ownership resorts under numerous brand names, including JW Marriott, The Ritz-Carlton, and St. Regis. Known for its emphasis on luxury, service, and innovation, Marriott continues to expand its global presence while maintaining a strong commitment to quality and customer satisfaction.
Solutions provided:
To achieve these objectives, we implemented a combination of Microsoft PowerApps and PowerAutomate. The solutions included:
- PowerApps Forms: Custom forms were created for each step in the hiring process, ensuring standardized data collection and submission. Concerned stakeholders attach relevant documents to these forms, which are then reviewed and approved by hiring management.
- PowerAutomate Flows: Automated workflows were designed to handle the approval layers and notify relevant stakeholders at each stage of the process.
- SharePoint Integration: Used as the backend for storing data, managing documents, and tracking requisition statuses.
Technologies:
The technologies used in this project included:
- Microsoft PowerApps: For creating custom forms and interfaces.
- Microsoft PowerAutomate: To automate workflows and approval processes.
- SharePoint: For data storage, document management, and process tracking.
Projects Overview:
The project aimed to automate Marriott’s entire hiring process, covering both new headcount and replacement hiring. The key stages of the automated process included:
- Initiating Hiring Requests: Automated forms to start new hiring requests.
- Assessment Stage: Digital assessments to evaluate candidates.
- Interview and Questions Stage: Scheduling interviews and managing question templates, with relevant documents attached in forms.
- Compensation and Benefits Initiation: Initiating compensation and benefits proposals with documents attached in forms.
- Offer Initiation and Signing: Preparing offer letters and capturing signatures through forms.
- Onboarding Checklist: Managing onboarding tasks and checklists through automated forms.
- IT Access Form and Checklist: Streamlining IT access requests and approvals via forms.
- Tracking Requisition Status: Real-time tracking of the hiring process and requisition statuses.
Background
Before the project, Marriott’s hiring process was entirely manual. This included initiating new hiring requests, assessing candidates, conducting interviews, handling compensation and benefits, making offers, and managing onboarding processes. This manual approach was time-consuming, prone to errors, and lacked a streamlined method for tracking the status of requisitions and approvals, leading to inefficiencies and delays in filling positions.
Business Benefits
The automation of Marriott’s hiring process provided several significant benefits:
- Efficiency: Reduced the time required to complete the hiring process by eliminating manual steps and introducing automated workflows.
- Accuracy: Minimized errors in data entry and process execution by standardizing forms and automating approvals.
- Visibility: Provided real-time tracking and status updates for all hiring requisitions, allowing for better management and quicker decision-making.
- Consistency: Ensured that all steps in the hiring process were followed uniformly across different locations and departments.
Scalability: Allowed Marriott to handle increased hiring volumes without a proportional increase in administrative workload.
Conclusion
Automating the hiring process at Marriott Hotels transformed a previously manual, error-prone system into an efficient, accurate, and scalable solution. By leveraging Microsoft PowerApps, PowerAutomate, and SharePoint, Marriott was able to streamline its hiring procedures, enhance process visibility, and significantly reduce the time and effort required to bring new employees on board. This project not only improved operational efficiency but also positioned Marriott to better meet its staffing needs in a rapidly changing hospitality industry.
